Job Summary

Reporting directly to the Associate Chair, Finance and Administration, incumbent provides support to the Division Chiefs and faculty in assigned divisions. The Division Administrator is responsible for financial, administrative, operational, managerial, human resources and short and long planning issues related to his/her assigned divisions. The responsibilities of the position span all areas of the divisional, departmental and institutional missions, including administrative leadership for clinical care, teaching and research as well as financial management and oversight of budgets for those activities.

The Division Administrator works in conjunction with the Division Chiefs, Senior Administrators in the Department, and the UCSF Benioff Children's Hospitals. The Division Administrator is also responsible for coordination and communication to facilitate outreach, supporting billing and compliance initiatives for clinical and academic activities, and for coordinating, initiating, and processing personnel matters related to Faculty, Fellows, Professional and Support staff.

The Division Administrator plays a key role in developing division processes to implement and ensure timely, efficient and accurate oversight and management of division funds, policy interpretation to ensure compliance with the department and University policy, Responsible for resource management, and program development and evaluation of division academic and clinical activities.

Department Description

The Department of Pediatrics is one of the largest and most complex departments in the School of Medicine. The department ranks 14th in the nation among Pediatric departments for funding from the National Institutes of Health. The department is comprised of 17 divisions employing over 400 faculty, 83 fellows, 84 residents, 31 Post Docs and non faculty academics and 170 staff. The Department has annual clinical income from inpatient and outpatient activities totaling over $100 million and annual extramural funding (contracts and grants) exceeding $40 million.

Required Qualifications

  • Bachelor's degree from an accredited institution in Business Administration, Public Administration, Accounting, or Finance and 5 years of increasing Accounting and Operations management experience and / or equivalent experience / training
  • Interpersonal skills and ability to work effectively across the organization at all levels; ability to interact with a diverse populations
  • Knowledge and understanding of internal control practices and their impact on protecting University resources
  • Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; and / or accounting and payroll
  • Strong verbal and written communication skills; ability to influence / persuade all levels of staff
  • Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner

Preferred Qualifications

  • Master's degree from an accredited institution in Business administration, public administration, accounting or finance
  • Professional certification preferred
  • Broad knowledge of common organization-specific and other computer application programs
  • Skills to work collaboratively with other locations
  • Proven skills to quickly evaluate complex issues and identify multiple options for resolution
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others
