DESCRIPTION

The UCSD Mathematics Department is a dynamic unit with 67 faculty, approximately 40+ additional non-FTEs in various instructional and research titles. These academics work on a broad range of research funding from a diverse range of federal, state, and private agencies. The department is comprised of 19 career staff, 180 Master's and Ph.D. students, and over 2400 undergraduate students. All working together to generate high-caliber research in a broad range of fields and provides an outstanding graduate program that attracts top-ranked students who contribute to the department's academic reputation. The department maintains a large undergraduate course of study that prepares pure and applied majors (over 2400) in Mathematics, as well as 57 other majors across the campus, with the strong fundamental background in mathematics needed to succeed in a variety of career options. The faculty are engaged in a vigorous research program with an average of 72 active awards in many interdisciplinary areas totaling approximately $20M/Yr. and an instructional program that enrolls approximately 30,000 graduates and undergraduates per year. As the fundamental language of science, mathematics is an essential intellectual tool required by a trained workforce to create the technological advances of the future.

The department is the home of The Center for Computational Mathematics (CCoM) consists of a broad and diverse group of faculty, researchers, and students, who share a common interest in the mathematical aspects of computation. The department is also the home of the Director of the Mathematics Diagnostic Testing Project an intersegmental education project in California.

Under the general supervision of the Instructional Support Manager and the Student Affairs Manager, the Instructional Support & Advising Assistant serves as the initial point of contact for the Department of Mathematics Student Affairs office. Primary responsibility is to "triage" academic advising services, providing guidance to undergraduate students and other constituents on UCSD and department policies and procedures. Provides individuals with accurate information and appropriate referrals to various campus offices/resources. Oversees the undergraduate student transfer course petition online review system and processing. Provides general office management and administrative support in a highly computerized and team-oriented environment. May provide backup A/V assistance for department projectors and other equipment.

Applies professional student services concepts, policies and procedures in the completion of Student Services assignments that are of limited scope and impact. Receives instructions on most work assignments, and regularly consults with Student Services specialists in the course of completing increasingly complex assignments. Follows standard practices and procedures in analyzing Student Services situations or data from which answers can be readily obtained. Exercises some judgment within defined procedures and policies to determine appropriate action. Demonstrates excellent interpersonal skills, with the ability to represent UCSD appropriately to internal and external constituents. Ability to adjust to shifting priorities and work under short deadline situations while maintaining composure. Ability to develop original ideas to solve problems, and to maintain confidentiality, make independent decisions, and to provide consultative services to administrative and academic personnel. Should be able to work with initiative and minimal supervision.

  • Must be available to work occasional overtime during evenings and weekends as needed.
QUALIFICATIONS
  • Experience working with a diverse student population in higher education.

  • Working in an administrative setting managing various tasks to support the efficient operation of an organization or institution.

  • Ability to communicate effectively orally and in writing.

  • Demonstrated problem-solving abilities, especially in a customer service setting, with the ability to deal with exceptions to policy and devise appropriate viable alternatives to non-standard situations.

  • Excellent oral and written communication skills that allow the incumbent to articulate complex information to a variety of individuals with broad educational, cultural, and language barriers, using tact, diplomacy, sensitivity and discretion.

  • Demonstrated experience and proven ability to provide a high level of independent support, with initiative and responsiveness, under the challenge and stress of frequent interruptions, frequently changing priorities, and strict deadlines. Ability to handlemultiple tasks simultaneously requiring detail and accuracy.

  • Interpersonal skills. Excellent listening skills and the ability to deal effectively and sensitively with people in crisis in a professional and concerned manner. Skill and ability to prepare and maintain a variety of documents and information, in paper or digital format, clearly, completely and accurately. Ability to ensure all are logically arranged and readily available, using alpha-numeric filing systems and electronic document storage.

  • Demonstrated problem-solving abilities, especially in a customer service setting, with the ability to deal with exceptions to policy and devise appropriate viable alternatives to non-standard situations.

  • Multicultural competencies; ability to work with diverse populations. Excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, e-mail and in person, demonstrating sensitivity, tact and diplomacy, at all levels within and outside the University, to promote positive relationships.

  • Ability to maintain the confidentiality required by law for student records.

Pay Transparency Act

Annual Full Pay Range: $47,800 - $79,400 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $22.89 - $38.03

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
