Compensation: $23.67/hour + $1.50 bilingual premium

Schedule: Monday - Friday, 9 am - 5 pm

Position Overview

Under the direction of the Administration Manager, the Receptionist is responsible for greeting clients and visitors to our office. You will give visitors and clients directions to various parts of the office, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail. Other job duties include answering emails, entering information into our database, organizing files, making copies, maintaining a clean reception area, shared kitchens, cleaning and sanitizing the children's play area, and other light administrative tasks. Hamilton Families is looking for someone who can provide a friendly and welcoming experience to ensure excellent service to the families we serve and a safe, welcoming environment for our staff, visitors, and volunteers. To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience as a receptionist is also helpful. Due to the communities we serve, proficiency in Spanish is preferred.

Primary Duties and Responsibilities

  • Provide front desk and other reception duties in a professional and courteous manner.

  • Relay timely and accurate messages to participants and staff, and provide information upon request about available services.

  • Serve visitors by answering or referring inquiries. Direct visitors by maintaining employee and department directories.

  • Ensure the safety of participants and staff by limiting facility access to participants, staff, and authorized visitors and service providers. Maintain security by following procedures, monitoring logbook, and issuing visitor badges.

  • Respond appropriately to emergencies, including contacting appropriate staff and interacting with police, fire, and medical personnel as needed.

  • Keep a safe and clean reception area by complying with procedures, rules, and regulations.

  • Collect and distribute incoming mail and deliveries.

  • Prepare meeting rooms and common areas as needed.

  • Take inventory of office supplies and restock as needed.

  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.

  • Maintain and promote the cooperative, harmonious, and teamwork environment that Hamilton Families strives to promote within the workplace; maintain and promote an atmosphere of dignity and respect in line with the philosophy and policies of HF.

  • Bilingual positions require providing verbal and written program and other information as needed to participants who are predominantly monolingual in the language for which a bilingual premium applies.

Qualifications, Skills and Abilities

  • High school diploma or related experience.

  • Fluent in Spanish

  • Prior experience in related field with administrative systems and staff preferred.

  • Strong customer service, verbal, and written communication skills.

  • Sensitivity to the needs of homeless families; able and willing to work with diverse staff and participants.

  • Proficiency with computers, especially MS Office Suite, Slack, and other technology tools.

  • Able to contribute positively as part of a team, helping with various tasks as required.

  • Essential functions of the position may require the use of a telephone, working at a standard computer terminal, and the ability to follow reasonable ergonomic recommendations, sit, kneel, stand, drive, or walk for long periods, reach, bend, lift, carry up to 50 pounds, and ability to climb stairs as needed.

  • Valid CADL and clean DMV record; able and willing to travel locally as needed

  • Criminal background check, fingerprint imaging, TB (Tuberculosis) clearance, and documentation required post offer.
