Job Summary

The Intake Administrative Specialist for OTOP will manage the administrative, operational, and programmatic activities of OTOP's Intake Team. The successful candidate uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations for OTOP's existing and future intake sites including SF General Hospital, Bayview Van Site, and SF County Jail. Oversight of program operations including project management, policy and process improvement and documentation, communications and reporting, database and compliance management. Perform short- and long-term planning for the organization. Quality improvement and assurance review. Set up and maintain oversight of strategic data collection system and analysis to be used to inform process improvement and clinical best practices. Support billing and budget management. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Assist program director with development of full job scope, developing additional responsibilities to be assigned. Reports to Intake & Counseling Services Program Director.

Department Description

The mission of the Division of Substance Abuse and Addiction Medicine (DSAAM) within the UCSF Department of Psychiatry and Behavioral Sciences at Zuckerberg San Francisco General Hospital is to improve the quality of life for our patients and the public by providing the highest quality addiction treatment, education, and research to reduce the dangers of substance use and its consequences. DSAAM provides multi-disciplinary consultation and treatment for patients with substance use disorders at Zuckerberg San Francisco General Hospital and several affiliated clinics. The main clinics include a licensed opioid treatment program (Ward 93/OTOP), the nation's first buprenorphine induction clinic (OBIC Clinic), mobile methadone vans, an office based opiate treatment program (OBOT), the Street Outreach Response Team (SORT), and two linkage programs (HOUDINI LINK and JUNO Community).

Required Qualifications

  • Bachelor's degree in related area and minimum three years experience or equivalent experience / training.
  • Knowledge of a variety of administrative operational activities such as project management, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of common University-specific computer application programs.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Attention to detail. Strong data collection, analysis and reporting skills. Strong knowledge of excel and/ or data tracking programs.
  • Ability to grasp new concepts quickly. Capacity to understand and retain new information.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Ability to use discretion and maintain confidentiality.

Preferred Qualifications

  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
