Job Summary

The Clinical Research Services Administrative Coordinator plays a vital role in supporting the operational and administrative functions of the CRS unit. Under general supervision, the incumbent manages participant reservations, registration, and clinical research billing processes, oversees office systems and procedures, gathers and analyzes financial and resource data, acts as a resource on unit scheduling and policies, and provides additional administrative support to other CRS sites. They are responsible for unit protocol implementation support, including preparing customized reservation forms, attending start-up meetings for new clinical research protocols, and assisting with troubleshooting scheduling issues. The Administrative Coordinator also provides general administrative and operational support, maintains inventory of unit supplies, and ensures adherence to policies and procedures.

Key Responsibilities:

Participant Reservations, Registration, and Clinical Research Billing:

  • Schedule visits in APeX and other computer scheduling systems.
  • Ensure timely entry of all site reservations to expedite the registration process.
  • Register patients in APeX, Outlook, and iLab.
  • Serve as unit expert on Medical Center systems for patient registration and billing.
  • Participate in the implementation of clinical research billing initiatives.

Office Systems and Procedures Management:

  • Review current office systems and procedures and propose revisions.
  • Coordinate ordering of supplies and maintain a clean, safe, and functional work environment.
  • Complete annual safety training and submit IT and Facilities tickets as directed.
  • Adopt professional unit-based communication practices and adhere to Environment of Care policies.

Financial and Resource Data Analysis:

  • Gather and analyze financial and resource data; prepare reports or analyses of operational activities.
  • Manage database and CRS systems and conduct census reporting and reconciliation.
  • Assist in developing and revising standard operating procedures and guidelines.
  • Run ad hoc reports in multiple data systems and conduct trend analysis.

Resource and Policy Support:

  • Serve as a resource on unit scheduling and policies and escalate customer service problems and vendor concerns.
  • Resolve issues using effective verbal, non-verbal, and written communication skills.
  • Communicate regularly with CRS management regarding program activities and identify problems for resolution.

Protocol Implementation Support:

  • Prepare customized reservation forms and templates for new clinical research protocols.
  • Attend start-up meetings for new protocols and assist study teams with onboarding.
  • Conduct site orientations and assist with resource allocation and scheduling issues.
  • Maintain Study Coordinator contact information and listserv and keep Study Coordinators informed of unit issues.
  • Maintain equipment logs and provide general administrative support to CRS.

Other Duties:

  • Inventory unit supplies and order supplies as needed.
  • Follow all unit, department, campus, and medical center policies, procedures, and work rules.
  • Support the development of unit/team goals and participate in unit staff meetings and educational programs.
  • Contribute to the quality assurance and quality improvement process and protect the confidentiality of all records and documents.
The hourly compensation range for this role is $29.05 - $53.50. An offer will take into consideration the experience of the final candidate, position requirements, AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications

  • This position requires flexibility to orient and work at all UCSF Medical Center locations.
  • Bachelor's degree in related area and / or equivalent experience / training.
  • 1-3 years of related experience
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common organization-specific and other computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Proficient with Microsoft Office Suite ( i.e.Word, Excel and Outlook). Ability to learn multiple databases
  • analyzes situations, prioritize tasks, develops solutions, and make recommendations.
  • Compose, Edit and proof a wide variety of documents.

Preferred Qualifications

  • Demonstrated experience in health care in one of the following areas: clinical research, patient scheduling, insurance verification, medial record data abstraction, or patient financial services
  • Experience with research administration and clinical trials.
  • Ability to navigate through multiple patient records systems.
  • Excellent customer service skills and proven ability to deal with a wide variety of individuals with sensitivity and diplomacy.
  • Demonstrated knowledge of medical terminology.

License/Certification

  • CITI certification ( within 3 months of hire date)
